Service Codes

Use this program to enter/edit the Service Codes

Entering Service Codes



1. Enter the Service Code. This is a caps lock field and is limited to 4 alphanumeric characters.

2. Enter the Rate if applicable. If no Rate is entered here the Matter or Person Rate will automatically be entered.

3. Enter Flat or Hourly.

4. If LEDES formatting is enabled on your system select the UTBMS Activity code which most closely matches the Service Code.

* Note: you do not have to select a UTBMS activity code to match the Service Code but doing so will save you steps later on while processing transactions and may help to maintain consistency in the use of these codes.

5. Enter the Service Code description. You may enter up to 800 characters of description. You can have a blank text area so as to be filled in at the time of time entry.

6. If you have the Calendar function enabled on your CA2000W program you may wish to create a Calendar Event for this Entry. To do so click on the Calendar Events Tab. These types of Calendar Entries are useful for triggering follow up calls and meetings resulting from the Service Code record.

7. Enter the Calendar Code, number or Days/Months/Years from today's date that you wish to have the event take place on.

8. Save the calendar event by pressing F2 or clicking the Save Button.

9. Close the view and enter the Time Transactions view.

10. Enter the Time Transaction for the same Service Code under the proper Person ID. Save the Time Transaction record, this will activate the Calendar event for the Service Code.

11. You may now go to the Calendars Module and view the scheduled event by utilizing the Calendar report or the Calendar view for the Person to whom the Event was assigned.

Editing Service Codes



1. Call up the record by finding or entering the Service Code.

2. Change the fields to be edited.

3. Click on the Save Button or press F2 to save your changes.

Searching for Service Codes



To Search using the Function Keys

1. Place the cursor in the Service Code field and press F9 or click the find button. Use F8 to go to the next record and F7 to go to the previous.

2. The search is started against the first most matched record to your entered criteria. For example, entering "A" in the service code field and then pressing F9 will bring up the first service code beginning with A.

To Search Using a Selection List

1. Click on the Selection List Button located at the end the Service Code Field to display the Service Code Lookup Dialog.

2. Click on the desired Service Code and then click on the OK button.

Deleting Service Codes



1. To delete a Service Code record, find the Service Code record and, with the cursor in the Code field, press Shift+F2.

2. To delete the Service Code's Test record, find the Service Code and, with the Cursor at the top of the text, press Shift+F2. Then answer Y to "Delete text record?" prompt.

Service Codes Fields

Field Size Description
Services Code 6 Char Code which represents the type of service.
F or H 1 Char Code which indicates a Flat or Hourly Fee
Rate 8.2 Char Amount charged for service per unit used, F or H.
UTBMS Activity Code 6 Char Code representing the LEDES formatted activity Code
Description 800 Char Description of the service code

Calendar Event Tab

Field Size Description
Calendar Code 5 Char Code which represents the type of calendar event.
Number of Days 4 Char Number of days till the event takes place
Number of Months 2 Char Number of months until the event takes place
Number or Years 2 char Number or Years until the event takes place.
Date Adjusted
(Y or N)
1 Char Field to document whether the date has ever been adjusted for this event.
Calendar Code Description 160 Char Field to describe the calendar code
