Who's Who in the Case

Use this program to keep track of People, Companies, or involved entities in a Matter. It allows you to keep track of the Name, Address, Phone Numbers, Relationship to the case (opposing Attorney, Witness, Expert Witness, Adverse Parties, Ex-husband's Girlfriend, etc.) and Comments or Notes. It also allows for Custom fields based on Relationships that are labeled in the Relationship view. The module links directly to the Client-Matter database.

Entering Who's Who Information

1. Enter the Name. When entering a Person that is an Individual (rather than a Company or Firm), type their First Name, Middle Name or Initial, a space and a backslash (\) followed by the Last Name. This will cause the Name to appear LAST, FIRST in the following field and remove the backslash in the Name field when you press . This feature will save keystrokes and time during data entry. For example, if you type John H. \Smith in the Name field, when you press TAB, John H. Smith will appear in the Name field and Smith, John H. will appear in the LAST,FIRST field. For Companies or an Individual with a Surname (Jr. III Ph.D. etc) this shortcut does not work and you will need to type the name in full as you want it to appear in the Name field, and the Last, First Name and then Middle Initial as you want it to appear in the LAST, FIRST field. For Companies, just type the Name in full and it will be duplicated on the LAST, FIRST field.

2. The Last, First field is an indexed field which allows you to find a Person according to the last name. In the future, if you find that John Smith changes his address and you want to update it in the system, when you type SMITH in this field and press the find key, it will bring up John Smith's record (or at least another Smith which might be a few records before John Smith. If for example, Alan Smith's record comes up you only need to press F8 to go to the next record (or F7 to go to the previous record) until it finds the correct Smith for you.

3. Enter the Relationship. This field is for defining the Relationship of the Individual to the Matter. It is a good idea to come up with a list of Relationships for all Users to follow so that one Person is not entering SPOUSE while another is enters HUSBAND or WIFE. Consistency is the key to effective and accurate reports.

4. Enter a valid Client/Matter/Sub Matter Code that this person is related to.

5. Enter the Salutation which is how a letter is to be addressed to that person.

6. Enter the Title which is the Person's title such as, President, Chairman etc...

7. Enter an Attention. This line exists mainly for entering a person's name when it is a company involved in a case. It is important to remember that this field may be used in document assembly so that you should be sure to put appropriate information in there. Generally speaking, it is left blank for individual names.

8. Enter the Firm Name. This is the un-abbreviated Firm Name.

9. Enter Address line, City, State Zip and Country. These fields are optional for the program to run.

10. Enter the Marital Status for the person.

11. Enter the Gender for the person.

12. Enter the Business, Fax, Cellular, Pager, and Home phone numbers along with their extensions. These fields are optional for the program to run.

13. Enter the E-Mail if there is one. Like the Phone numbers, this field is optional for the program to run.

14. Enter the Homepage for that Person, if it exists.

15. Enter Comments/Notes. This is where pertinent information about how this Person or Company relates to the case is kept.

16. Enter the appropriate custom information in the Custom and Picture tab pages.

17. Enter the Custom Address information if desired.

18. The Date Created and Date Updated are automatically inserted upon creation of a new file and changing of a file. You may edit these if you wish.

19. Save the file by clicking on the Save as New Button.

Create a New Client-Batter

1. Call up the desired record by finding.

2. Press Alt+F2

3. Change the Client Number. The program will check to make sure that the new client number does not exist.

4. Change the Matter Number. A blank Matter Number will prevent the creation of a new matter.

5. Make any necessary changes to the following fields, Attention, Type of Law, Jurisdiction, and Responsible Attorney.

6. Click on Ok

7. If desired, edit the Who’s Who record to reflect the new Client-Matter Number and select one of the following to save.

a. Press F2 to save your changes in the current record

b. Click on the Save button to save your changes in the current record

c. Click on the Save New button to create a new record.

Editing Who's Who Information

1. Call up the record by finding.

2. Change the fields to be edited.

3. Select one of the following:

a. Press F2 to save your changes in the current record
b. Click on the Save button to save your changes in the current record
c. Click on the Save New button to create a new record.

Searching for Who's Who Information

It is possible to filter or constrain records while searching Who's Who Information. Records may be constrained by Last Name, Client-Matter and/or the Relationship to the Client-Matter.

To constrain records by Last Name (from Who's Who)
Select/enter the desired Last Name. Click on the Filtered List button.
A list of names which match the entered criteria will be returned.

To constrain records by Client-Matter
Select/enter the desired Client, Matter, Sub Matter number using the Client-Matter Selection List. Click on the Filtered List. A list of Matters and Sub matters which match the entered criteria will be returned. Please note, Filtering by Client-Matter may take minutes to display the selection list.

To constrain records by Relationship
Enter a Relationship in the Relationship field, or select a Relationship using the Relation Lookup List. Click on the Filtered List Button. And click on the Search Button.

Continue with the instructions below.

To Search using the Function Keys
1. Placing the cursor in the Last Name field. Enter the desired data and press F9. Use F8 to go to the next record and F7 to go to the previous.

2. The search is started against the first most matched record to your entered criteria. For example, entering "A" in the name field and then pressing F9 will bring up the first record beginning with A.

To Search Using a Selection List
1. Click on the Selection List Button located at the end of the Last Name field to display the Who's Who Lookup Dialog.

2. Do one of the following:

a. Click on the desired Last Name and then click on the OK button.
b. Click on the Search button, enter the last name and click on OK. Click on OK a second time to select the record.
