Time Transactions
Use this program to enter/edit Time Transactions.
Entering Time Transactions
|
As the time transaction is created, one of following rates is automatically selected.
P stands for "Person Rate"
M stands for "Matter Rate"
S stands for "Service Rate"
O stands for "Other Rate"
@ stands for "Person Matter Rate".
The selected Rate Code will be displayed in the window to the left of the -Rate. The amount in the window after the _RATE is the respective rate as a flat fee or as an hourly fee multiplied by the time entered. As you move the cursor through the fields, you may see the code and the amount change.
1. Enter the Person Code or Select from the Person Lookup List.
2. Enter the Person Rate or Select from the Person Rates Lookup List. If the rate has not been defined, the first defined rate shall be selected.
3. Enter the Date for this Time Transaction. Unless you are entering a transaction for another date, today's date will be entered upon tabbing through the field.
4. Enter an existing Client Number or find an existing client with the lookup list.
5. Enter or Select an existing Matter/Sub Matter Number for this Client. You may enter either the Matter/Sub Matter code or select from the Matter Lookup List.
6. Enter the Service Code, if desired. You may also select a Service Code from the Service Codes Lookup List.
7. Enter the Hours and Minutes_Units for this transaction. The minutes unit is defined in system information. The Timer may also be used to enter the Hours and Minutes Unit. The Timer will round up to the next minutes unit.
8. Enter a Y or N to indicate if this transaction is to be charged. Entering an "N" in the CHG field will suppress a billing. Blocked Time Charge in the Matter Entry program will suppress charges generated by the rates below this level.
9. Entering an amount will override any previous calculation. If an amount is entered differing from a previous calculation, or an amount is entered when there is no automatic calculation, you will see an "O_RATE" displayed meaning "Other Rate".
If "N" is entered in the CHG field and an amount is entered, the cursor will be placed back in the CHG field as "N" with an amount is a contrary fact.
10. Enter the UTBMS Task and Activity Codes if you have the LEDES format enabled.
11. Enter the description of the Time Transaction.
12. Click on Save or press F2 to save

Editing Time Transactions
1. To edit a Time Transaction, Search for the desired Time Transaction.
2. Change the fields to be edited.
3. Click on the Save Button or press F2 to save your changes.
Notes:
a. Time Transactions that have been posted may not be edited.
b. Time Transactions that have been Billed may be edited, but doing so will void the invoice.

Searching for Time Transactions

To Search using the Function Keys
1. Place the cursor in either the Record Number field, or the Date Field. Enter the desired Client Number (or Name) and press F9. Use F8 to go to the next record and F7 to go to the previous.
2. The search is started against the first most matched record to your entered criteria.
To Search using a Selection List
1. Click on the Selection List Button located at the end of either the Record Number Field or the Date Field to display the Time Transactions Lookup Dialog.
2. Do one of the following:
a. Click on the desired Time Transaction and then click on the OK button.
b. Click on the Search button, enter appropriate data for the selected column and click on OK. Click on OK a second time to select the record.
To Search Filtering Time Transactions
1. Enter appropriate information in any or all of the following fields:
Person - to select the time transaction of a particular person
Date - to select the time transaction where the date is Greater Than or Equal To
Client, Matter, Sub Matter Number - to select a particular Client-Matter
Make certain that you TAB out of the field, failing to do so will not allow the filtered list to work.
2. Click on the Filtered list button.
3. Click on the Search button to display the Time Transaction Lookup List.
4. Click on the desired Time Transaction and then click on the OK button.
All filters can be cleared by clicking the Clear All Button

Deleting Time Transactions Records
1. To delete a Time Transaction, Search for the desired time transaction.
2. Press [Shift]+F2 to Delete the Time Transaction.
Notes
a. Time Transactions that have been posted can not be deleted
b. Time Transaction that have been billed can be deleted, but doing so will void the invoice.

Use of Timer

1. Click on Start to activate the timer
2. Click on Stop to stop the timer
3. Click on Apply to move the timer value, rounded up to the billable unit, into the Hours and Minutes Fields.
4. Click on Reset to clear the timer.
