Document Assembly

The Document Assembly view is used to Select a Who's Who Record that will be used to create a document in either Word Perfect or Microsoft Word. The word processor is automatically opened, the new document is saved.

Selecting a Who's Who Record

It is possible to filter or constrain records while searching Who’s Who Information. Records may be constrained by Last Name, Client-Matter and/or the Relationship to the Client-Matter.

To constrain records by Last Name (from Who’s Who)

Select/enter the desired Last Name. Click on the Filtered List button.
A list of names which match the entered criteria will be returned.
Select the record by double clicking on the desired name

To constrain records by Client-Matter
Select/enter the desired Client, Matter, Sub Matter number using the Client-Matter Selection List. Click on the Filtered List. A list of Matters and Sub matters which match the entered criteria will be returned.
Please note, Filtering by Client-Matter may take minutes to display the selection list.
Select the record by double clicking on the desired name

To constrain records by Relationship

Enter a Relationship in the Relationship field, or select a Relationship using the Relation Lookup List.
Click on the Filtered List Button.
Do one of the following:
a. Click on the desired Last Name and then click on the OK button.
b. Click on the Search button, enter the last name and click on OK.
    Click on OK a second time to select the record.

To Search using the Function Keys

1. Placing the cursor in the Last Name field. Enter the desired data and press F9. Use F8 to go to the next record and F7 to go to the previous.

2. The search is started against the first most matched record to your entered criteria. For example, entering “A” in the name field and then pressing F9 will bring up the first record beginning with A.

Select Word Processor

Document Assembly will start with the default word processor selected in the Change Default Directories found in the Utilites Menu. The user may select any word processor that is not shaded.

The selected word processor will determine form file type to be displayed in form selection according to the following table.

Selecting a Form

1. Click on the Select Form button to display the Select Form Library file dialog.

2. Change to the desired form library (or accept the default library) anc click on Save. The files located in the Form Library will be displayed in the Form Grid in alphabetical order.

By clicking on the appropriate button, the user may:

 Select all library forms
 Remove an individual from
 Rearrange the order of the forms
 Remove the unselected forms

3. Select the desired form or forms by clicking in the checkbox next to each form name.

Please Note:   It is the user's responsibility to insure that the generated Merged File Name will not over write an existing file.

The default document name is constructed as follows:

Word UYMDDCCCFFF.DOC

Where:
  • U - User Initial
  • Y - Last number of year
  • M - Month (1 ..9, O, N, D)
  • DD - Day of Month
  • CCC - First three characters of Client Number
  • FFF - First eight characters from the form name
The user may change the default merged document name by clicking on the name and making the appropriate changes.

Selecting the Directory for Merged Document(s)

1. Click on the Select Doc Dir button to display the Select Directory for Merged Documents dialog.

2 Change to the desired document directory (or accept the default directory) and click on Save.

Starting the Merge

Click in the Print (to Default Printer) and Close to have the merged documents automatically printed. Note that the word processor will not be visible when automatic printing is selected.

Click on the Merge Buttom to start the process.
